Privacy Policy
Last updated: 1 October 2026
1. Introduction
This Privacy Policy explains how Join Your Club ("JYC") collects, uses, stores and shares personal data.
The controller of your personal data is:
Join Your Club B.V.
Heer en Beekstraat 19B
5242 AC Rosmalen
The Netherlands
Chamber of Commerce (KvK) number: 42134251
VAT number: NL869875097B01
Privacy contact: privacy@joinyourclub.com
2. Personal Data We Collect
Account data: name, email address, username, profile photo or avatar, bio, city, pace level, goals and sport interests. If you sign in with Apple or Google, we receive your name and email address from them. With Apple you can choose to hide your email address; we then receive a private relay address.
Platform activity: clubs joined, events joined, tickets bought, who you follow, the posts, comments, stories and runs you share, and your settings.
Club and organizer data: for a club you create, its name, logo, banner, description, type and city. If you sell tickets: your invoice details (legal name, address, country, VAT status, VAT number and invoice email). Your payout account and identity checks are handled by Stripe. JYC does not store your identity documents or full bank account number.
Payment data: payment status, transaction ID, amounts, refunds, invoices and purchase history. JYC never receives or stores your full card number.
Club plan data: which plan a club has, which store it was bought in, and whether it renews. Plans are bought through Apple or Google, and RevenueCat tells us which plan is active. We receive no card details.
Communication data: messages, group chat activity, support requests, reports and complaints.
Technical data: IP address, device type, operating system, app version, log data and, if you allow notifications, your device's push token.
Legal and consent records: Terms accepted, Privacy Policy accepted, date and time of acceptance, document version, platform and app version.
Location data: if you allow it, JYC uses your device location to show clubs and events near you. Your location is used on your device to center the map and to filter what is near you, and when you ask Findy for something near you, it is sent to our servers for that one search only. We do not store your location or a history of your movements, and you can turn the permission off in your device settings at any time.
Photos and camera: only the images and video you choose to upload, for example for your profile, your club's logo, posts, stories and events.
Optional - Strava: if you connect Strava (during sign-up or in Settings > Connected Apps), JYC imports only the distance, moving time, date and activity type of your runs. We do not import GPS routes, heart rate, splits, photos or private notes. Because run data can say something about your health, we ask for your explicit consent first. You can disconnect at any time in Settings > Connected Apps, which also revokes our access at Strava.
Optional - Findy (AI discovery assistant): Findy helps you find clubs, coaches and events, and nothing else. When you use it, your messages, your pace level and goals, and which clubs you have already joined are sent to our AI provider, together with public club and event information. Your exact location is never sent to the AI provider, and Findy never suggests, shares or contacts other users. Findy cannot book, join or pay for anything: it only points you to the club or event page, where you decide yourself. We do not store your Findy conversations; we keep a daily count of your Findy messages to apply a fair-use limit. Messages that may point to a mental health crisis are answered with a fixed text with support contacts. For that we keep an anonymous count, without your name or your messages. Findy makes suggestions only. It does not make any decision that has a legal or similarly significant effect on you, and you are free to ignore it.
Event sign-ups on our website: if you join a free event at joinyourclub.com without a JYC account, we use your name and email address to register you, to send you a confirmation link and emails about that event, and we share your name and email address with the event's organizer so they can run the event. If the event asks for it, you can choose a T-shirt size; if the event is full, you can join its waiting list and we email you when a spot opens up. On the event page you can choose to receive news by email from Join Your Club and the event's organizer (one optional box, unticked by default). We store your choice and its date as proof, and the organizer may only send you news if you agreed to hear from them. You can withdraw at any time via the unsubscribe link or support@joinyourclub.com. Your spot only counts once you confirm it through the link in the email. To stop automated sign-ups we keep a one-way scrambled (hashed) form of your IP address, never the address itself. Unconfirmed and cancelled sign-ups are deleted after 2 days, all others 30 days after the event. If you later create a JYC account with the same email address, your sign-ups move to your account.
Early access and club requests on our website: if you leave your details on joinyourclub.com to hear when JYC launches or to request a club, we use them only to contact you about that. We delete them once they are no longer needed, and at the latest 12 months after you sent them.
3. Why We Use Personal Data
To operate the platform: create and manage accounts, enable club and event discovery, clubs, events, messaging and notifications.
To process payments: handle ticket payments, refunds, chargebacks, organizer payouts, service fee invoices and club plans.
To keep the platform safe: enforce our Terms, handle reports, prevent fraud and abuse, and keep audit logs.
To comply with legal obligations: tax and bookkeeping records, privacy rights requests and requests from authorities.
To improve JYC: we look at aggregated numbers from our own database, such as how many events are created. We do not use third-party analytics or advertising tools.
For marketing: only with your consent or where permitted by law. You can opt out at any time.
4. Legal Bases for Processing
Contract: to create accounts, provide features, enable bookings, process payments and payouts, and provide club plans.
Consent: for location, push notifications, connecting Strava (explicit consent), and optional marketing. You can withdraw consent at any time.
Legal obligation: for payment and tax records, legal requests and privacy rights requests.
Legitimate interest: for platform security, fraud and abuse prevention (including the hashed IP address for web sign-ups), moderation of reports, and the anonymous Findy safety count.
5. How Long We Keep Data
Account data is kept for as long as you have an active account. Payment, transaction and invoice records are kept for 7 years as required by tax law. Communication data may be kept for up to 3 years for safety and legal purposes. Consent records are kept for 5 years. Push tokens are deleted when you sign out or delete your account.
You may request deletion of your personal data at any time, subject to legal retention obligations.
6. Sharing Personal Data
We use these service providers, who may only use your data on our instructions:
- Supabase (hosting, database, sign-in, file storage and server functions - Frankfurt, Germany)
- Stripe (ticket payments, refunds and payouts to organizers, including organizers' identity checks)
- RevenueCat (keeps track of club plan subscriptions; it receives the store receipt and a random account ID, not your name or email address)
- Expo (passes push notifications on to Apple and Google)
- Anthropic (AI processing for Findy, limited to what is described in section 2; not used to train its models)
- Resend (sending email on our behalf, from the EU)
- Vercel (hosting of joinyourclub.com, event pages and web sign-ups)
- Mijndomein (our mailbox and domain, for emails you send to support@joinyourclub.com or privacy@joinyourclub.com - the Netherlands)
These services receive data to provide their own service, under their own privacy terms:
- Apple and Google (sign-in with Apple or Google if you choose it, App Store and Google Play purchases of club plans, and delivery of push notifications)
- Google Maps Platform (maps in the app, and address suggestions when you type a location; to load a map, Google receives technical data such as your IP address)
- Strava (only if you connect it, and only to import the run data listed above)
Others who may receive personal data:
- Club owners and organizers (only the data needed to run their club or event, such as your name, profile and whether you joined or bought a ticket; for sign-ups on our website also your email address, chosen T-shirt size and your news choices)
- Other users (what you choose to share: your profile, posts, stories and, unless you turn it off, your runs. With a private account, only approved followers see your posts and runs)
- Law enforcement or regulatory authorities where required by law
JYC does not sell personal data, does not share it for advertising, and does not use it to train AI models.
7. International Transfers
Our database and files are hosted by Supabase in Frankfurt, Germany, inside the European Union, so your data is stored under EU data protection law. Email is sent from within the EU (Ireland).
Some providers may process data outside the European Economic Area, mainly in the United States: Stripe, Apple, Google, RevenueCat, Expo, Anthropic, Vercel and Strava. For these transfers we rely on the EU-US Data Privacy Framework where the provider is certified under it, and otherwise on the European Commission's Standard Contractual Clauses, so the same level of protection travels with your data.
8. Your Rights
Under applicable data protection law, you have the right to:
- Access your personal data
- Correct inaccurate data
- Request deletion of your data
- Restrict or object to processing
- Request data portability
- Withdraw consent at any time
Two of these are built into the app. Settings > Privacy > Your data shows exactly what we hold and lets you export a copy. Settings > Delete account permanently deletes your account and data; you can also request this at joinyourclub.com/delete-account.
To exercise any other right, contact privacy@joinyourclub.com. We respond within one month.
If you believe we have not handled your data properly, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in the EU country where you live.
9. Children
JYC is not intended for children under 16. We do not knowingly collect personal data from anyone under 16. If you believe a child has given us personal data, contact privacy@joinyourclub.com and we will delete it.
10. Cookies and Tracking
The JYC app contains no advertising, third-party analytics or tracking tools, and does not track you across other companies' apps or websites. Our website joinyourclub.com does not use tracking or advertising cookies.
11. Security
JYC uses appropriate technical and organizational measures to protect your personal data, including encrypted data storage, secure authentication, and access controls.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes through the app or by email.
